What PTA board and chair positions are available?
There are multiple positions on the Tadlock PTA board. They consist of positions that are part of the executive board (must be voted into the position) and chair positions (appointed by the PTA President, subject to approval by the Executive Board). These positions are open to any parents and do not require previous board or PTA experience.
All of the Tadlock PTA positions are listed below as well as a description of the roles & responsibilities.
How do PTA positions get filled?
PTA Executive Board: A nominating committee is formed in January each year by PTA members and those representatives are voted on to that committee at the January General PTA meeting. This committee presents the nominees to the membership at the March general PTA meeting and they are slated at that time (nominees will also be posted online prior to the March PTA meeting). Board elections are conducted at the March General PTA meeting. If interested in a PTA Executive Board position, please complete the interest form here, by Wednesday, February 26, 2025.
PTA Chair Positions: After the PTA Executive Board is elected, the PTA President for the upcoming school year will seek out individuals to fill chair positions until the end of the school year. What are the requirements to serve on the PTA board?
- First and foremost, the desire to ensure the current level of excellence remains in the educational environment of our Tadlock students
- Active membership in the Tadlock PTA each school year you hold a position
- Plan, execute and support events that enrich the Tadlock Elementary community
- Volunteer your time and talents during PTA scheduled events
- Attend monthly scheduled board meetings and PTA general meetings throughout the school year
- Submit content to monthly newsletter and social media posts to promote event or provide information
- Help recruit and train your successor

Tadlock PTA Board Roles & Responsibilities
Elected Positions:
President
Time Commitment: 15-20 hours per week
Busiest Time of the Year: Ongoing
Ideal candidate: Someone who has flexibility during school hours for meetings and events. The position is best for someone with strong leadership and organizational qualities who can manage and oversee the job duties of ALL board members.
Responsibilities:
- Maintain a positive and productive relationship with school faculty members
- Coordinate the work of the officers and committees of the PTA
- Preside at all meetings of the association
- Appoint the chair of each standing committee and special committee, subject to the approval of the executive board, unless otherwise provided in these bylaws
- Be authorized to sign on bank accounts (unless prohibited by terms of employment)
- Be authorized to sign contracts approved by the executive board
- Be listed as the principal officer and be authorized to sign tax documents (unless prohibited by terms of employment)
- Appoint a members for special committees
- Serve as an ex-officio member of all committees except the nominating and financial reconciliation committees.
- Public speaking at PTA general meetings and other events
- Chairs all board & general meetings
- Oversees fiscal compliance
- Serves as a liaison with school administration & community partners

Busiest Time of Year: July/August (planning and scheduling programs for the school year) & Spring for planning & executing Family Fun Night
Ideal candidate: Someone who has excellent organizational & communication skills in order to properly plan out all programs throughout the school year. Communication skills are required in order to work with Tadlock Principal and PTA President to discuss & receive approval for programs and program dates, as well as creating graphics & promotional material for all programs for social media and newsletters. Someone with the ability to be present for ALL evening programs as well.
Role & Responsibilities:
- Organizes school functions geared towards reaching out to the school community and getting them involved (Family Reading Night, Family Fun Night, Family Game Night, etc)
- Organizes all in school programs (author visits, guest speakers/programs, etc.)
- Oversees and is the point of contact for PTA sponsored events
- Creates flyers, graphics, etc. to promote Programs on Social Media, PTA Website, Principal Newsletter, President Newsletter, etc.
- Works with Volunteer Coordinator & Chairs for each event to ensure adequate volunteers and items that are needed are approved
- Oversees the budget set forth for each PTA Program event
- Attends all Executive Board meetings & General/Membership meetings
- Creates annual POW in accordance with approved proposed budget and reviews it with incoming President
- Volunteers at PTA events

VP of Ways & Means
Time Commitment: 2 hours per week, much more during peak times
Busiest Time of Year: Beginning of school year and around major fundraising events
Ideal candidate: Someone with flexibility during working hours to contact potential partners/sponsors & to be present during the week of our Fall Fundraiser. Bonus if you enjoy working with community members to obtain funds through sponsorships! Someone who has excellent communication & organizational skills to help properly organize, delegate, and promote all sponsorship opportunities & fundraising events.
Role & Responsibilities:
- Secure PTA partners (sponsors) for the school each year
- Partner with the chairperson of individual events to ensure PTA guidelines are followed and assist to ensure success of event
- Preside in President’s absence (in given order)
- Oversees 2 annual Fundraising Events (Boosterthon Fun Run & Back to the 80s Night)
- Serves as the primary contact for all onsite fundraising related questions and information
- Oversees all onsite fundraising events; coordinates committees, and works with Volunteer Coordinator to get volunteers for the events
- Relays all communications for fundraiser to Communications Chairperson & Website Chairperson.
- Creates flyers, graphics, etc. to promote Fundraisers on Social Media, PTA Website, Principal Newsletter, President Newsletter, etc.
- Attends & holds necessary planning meetings for fundraiser events
- Attends all Executive Board & General Board Meetings
- Creates annual POW in accordance with approved proposed budget and reviews it with incoming President

VP of Membership
Time Commitment: 2-3 hours a week first part of year | minimal time commitment after September
Busiest Time of Year: August and September
Ideal candidate: Organized & comfortable with working with computers. Position is very flexible as far as when the work is done.
Role & Responsibilities:
- Meets with incoming President before the beginning of the school year to establish membership goals, design the membership & outreach promotion, and plan of action for the upcoming year
- Organizes, tracks, and uploads all members to the MyPTEZ website.
- Responsible for organizing and promoting membership drive month (month this is held is agreed to by President & Principal)
- Responsible for collecting nominations for Lifetime Member Award and voting process for award as well as announcing the winner annually
- Creates flyers, graphics, etc. to promote Membership on Social Media, PTA Website, Principal Newsletter, President Newsletter, etc.
- Creates annual POW in accordance with approved proposed budget and reviews it with incoming President
- Volunteers at PTA events

Treasurer
Time Commitment: 1-2 hours/week
Busiest Time of Year: Beginning of the year when new to role | weekly check runs | around Book Fair and event times as checks (reimbursements) are requested |March/April preparing upcoming proposed budget with President | end of fiscal year preparing Financial Reconciliation report for committee | August submitting required 990 Tax Documents.
Ideal candidate: Extremely organized, some financial acumen (but you do not have to be an accounting major), flexible for check signings weekly.
Role & Responsibilities:
- Keeps records & prepares reports that comply with local, state, and federal laws.
- Presents the proposed budget at the Executive Board meeting for suggestions & presents final proposed budget at final General/Membership meeting at the end of the school year (May).
- Is the authorized custodian of all funds for Tadlock PTA
- Pays bills and deposits money promptly
- Collects Reimbursement forms & reimburses individuals (all checks require 2 signatures)
- Keeps track of all incoming and outgoing funds to make sure that the PTA is adhering to approved budget
- Prepares Projected Budget for the year
- Presents monthly statements at Executive Board & General Board Meetings
- Maintains financial records for the PTA
- Has signature authority for all expenditures
- Prepares Financial Reconciliation Report for committee & submits IRS 990 form annually
- Creates annual POW in accordance with approved proposed budget and reviews it with incoming President

Secretary:
Time Commitment: 2-3 hours monthly
Busiest Time of Year: Following each PTA meeting | First month of first year of holding position
Ideal candidate: Need to be present at all board and general meetings. Detail oriented and organized is preferred to keep up with minutes and documents.
Role & Responsibilities:
- Keeps accurate, concise, permanent records of the proceedings in all of the PTA meetings (Executive Board & General)
- Provides permanent records (minutes) to President for review within 1-2 days of meeting
- Maintains current copy of the bylaws and standing rules
- Attends/takes all required training
- Volunteers at PTA events
- Creates annual POW in accordance with approved proposed budget and reviews it with incoming PresidentAttends all Executive Board & General Board Meetings
- Binds all minutes, financial reports, and other required documents at the end of the school year for the Minute Approval Committee to review and sign-off on.
- Creates a Historical Report that is shared during the last meeting in May which breaks down what each PTA Board member did throughout the year in their role on the PTA (if PTA Historian role is not filled).
Chair Positions:
Parliamentarian:
Time Commitment: 1-2 hours monthly
Busiest Time of Year: During PTA meetings
Ideal candidate: Someone who can attend ALL PTA Board & Membership Meetings.
Role & Responsibilities:
- Need to be at all PTA general meetings and all the PTA board meetings.
- Ensure all present at meetings act within Bylaws, and within some approximation of parliamentary procedure.
- Chair the Bylaws Committee and review bylaws and standing rules every 3 years (unless the Board feels like updates are needed earlier). Formal adoption of new bylaws is completed every 3 years.
- Manage/oversee the Nominating Committee Process. After the Parliamentarian forms the committee, s/he remains available to assist them at their request. However, the Parliamentarian meets with the committee only if she has been elected to the committee.
- Assists the President in preparing for meetings by reviewing agendas and providing guidance on parliamentary procedure.
- Answer questions from members and board members regarding parliamentary procedure during meetings.
- Advises on the proper handling of motions, including amendments, seconding, and voting procedures.
- Offer objective and non-biased guidance on procedural matters, ensuring fairness to all members.
- Maintains accurate records of meeting actions, including motions passed, amendments, and voting results.

Arts in Education:
Time Commitment: 20-40 hours yearly
Busiest Time of Year: August/September and then around Reflections due date
Ideal candidate: Great position for someone who can’t commit to a position that requires a monthly commitment. Love for the arts is a bonus (not a requirement)! Good organizational, communication, and promotional skills would be a bonus.
Role & Responsibilities:
- Promotes artistic involvement within the PTA and brings the arts to the children at Tadlock
- Organizes and facilitates Tadlock’s participation in the National PTA Reflections Art Program
- Attends/takes all required training
- Creates annual POW in accordance with approved proposed budget and reviews it with incoming President
- Volunteers at PTA events
- Attends all Executive Board & General Board Meetings
Book Fair:
Time Commitment: 75 hours per year
Busiest Times of Year: Very intense for the weeks surrounding the Fall and Spring Book Fairs
Ideal candidate: Great position for someone who cannot commit to a position needing year round support but can commit to working school hours for 1-3 weeks around book fairs. Someone with good communication & organizational skills.
Role & Responsibilities:
The Book Fair chairperson works with the Tadlock Librarian, Principal, PTA President, and Treasurer to plan and executes two book fairs for the school (Fall & Spring). The chairperson is responsible for promoting the event, ordering and delivering books, setting up and taking down the fair, and managing sales.
Other Responsibilities:

- Attends all Executive Board & General Board Meetings
Council Delegate:
Time Commitment: Up 1-2 hours monthly
Busiest Time of Year: Around FISD Council meeting dates
Ideal candidate: Must be able to attend Frisco ISD Council of PTAs monthly meetings (generally held on Tuesday mornings on a monthly basis). Must also be able to attend all Tadlock PTA Board & General Meetings.
Role & Responsibilities:
The Council Delegate is to receive information from the council (Frisco ISD Council of PTAs), report actions & share important information back to the local unit (Tadlock PTA) and vote as directed by the local unit membership.
Other Responsibilities:

Social Media:
Time Commitment: 1-2 hours a week
Busiest Time of Year: Steady effort throughout the year
Ideal candidate: Great job for someone who can’t commit time during school hours as the majority of the job can be performed at home behind the computer/phone. Must be organized and excellent with communication and responsive to board member’s emails regarding needed posts.
Role & Responsibilities:
Responsible for managing and updating the PTA’s social media platforms (Facebook & Instagram) to effectively communicate upcoming events, important information, volunteer opportunities, and overall school happenings to parents, staff, and the wider community ensuring a consistent online presence that aligns with Tadlock PTA’s goals and brand.
Other Responsibilities:

Environmental:
Time Commitment: 10-20 hours annually
Busiest Time of Year: Beginning of August to help & recruit individuals to help plant flowers & plants outside of Tadlock I Fall & Spring to plan, promote, & participate in annual Stream Clean and Clean it & Green it events.
Ideal candidate: Great role for someone who can keep up with multiple communications that help promote initiatives. Most of the work can be done away from school (minus event days).
Role & Responsibilities:
Develops & implements environmental awareness initiatives within the school community, promoting sustainable practices like recycling, reducing waste, and conservation, often by organizing events and educational programs to engage students, parents, and staff protecting the environment.
Other Responsibilities:

Healthy Lifestyles:
Time Commitment: 20 hours annually
Busiest Time of Year: First of year when learning the role
Ideal candidate: Someone that would be able to attend the twice annual Bike & Walk to School Days (in the morning before school).
Role & Responsibilities:
A PTA Healthy Lifestyles chairperson advocates for healthy lifestyles in the school community and connects the PTA with the community on health-related issues. They also develop programs to address areas of need. Organizes & promotes twice annual Bike & Walk to School Days.

Historian:
Time Commitment: 20 hours annually
Busiest Time of Year: Spring while compiling and producing Historian Report
Ideal Candidate: Someone who is organized and comfortable with compiling a typed report.
Role & Responsibilities:
The PTA Historian documents and promotes the achievements and activities of their PTA by typing and presenting an annual Tadlock PTA Historian Report at the last Tadlock PTA Board Meeting and General Meeting of the school year.

Hospitality:
Time Commitment: 2-3 hours a month (more before & during event times)
Busiest Time of Year: On-going l Before start of school year planning for Back to School Teacher Luncheon l 2 times a year planning and executing Teacher Luncheons I April/May planning and executing Teacher Appreciation Week
Ideal candidate: Great position for someone who loves hosting and planning parties/events, is organized & has good communication skills. Even better if you enjoy giving back and making others smile! Position does require the ability to be at the school during the days of Teacher Luncheons & Teacher Appreciation Week.
Role & Responsibilities:
- Organizes, plans, and recruits volunteers (with the help of Volunteer Coordinator) for teacher luncheons throughout the year
- Responsible for purchasing PTA funded birthday gifts for Tadlock teachers & staff
- Organizes, plans, and recruits volunteers (with the help of Volunteer Coordinator) Teacher Appreciation Week festivities.

Room Parent Coordinator:
Time Commitment: 1-2 hours weekly except around party time/service projects which requires at least 10 hours weekly
Busiest Time of Year: Beginning of the year, Nov/Dec, April/May
Ideal candidate: This position requires some time during school hours, in particular around party planning meetings. Ideal candidate is organized and can balance a few moving parts at once.
Role & Responsibilities:
Responsible for overseeing and coordinating all of the “room parents” within the school, acting as a liaison between teachers, parents, and the PTA to ensure smooth executing of classroom events (i.e., Winter Parties & year end parties), activities, and volunteer recruitment, while reporting to Tadlock PTA leadership regarding room parent initiatives and needs.

SAGE:
Time Commitment: 3 hours per month, based on activities
Busiest Times of Year: During the planning & execution of Diverse Abilities Day annually
Role & Responsibilities:
SAGE stands for Special and Gifted Education and the mission of our SAGE Committee is to provide an opportunity for families and teachers of students who learn differently to share resources and friendship. Responsible for planning and executing annual Diverse Abilities Day by working with the School Counselor.

Spirit Wear:
Time Commitment: 2-3 hours monthly
Busiest Time of Year: Beginning of August (before school begins)/Beginning of school year, March/April to plan for upcoming year
Ideal candidate: This position is ideal for someone who cannot commit large amounts of time during school hours. Creativity is a plus but not a must! Enjoys promoting school spirit! Someone who is organized and can work well with others.
Role & Responsibilities:
Responsible for organizing and managing the selection, design, marketing, and sale of school spirit wear items throughout the year, including choosing the merchandise, coordinating with vendors, taking orders, and ensuring timely delivery to students and parents; essentially acting as the point person for all aspects of the school spirit wear program.

Spirit Nights/Vendor Programs:
Time Commitment: about 2-3 hours a month

Ideal Candidate: Someone with excellent organizational and communication skills.
Role & Responsibilities:
Responsible for organizing and promoting "Spirit Nights" - fundraising events where a percentage of sales at participating local businesses are donated back to the school, with the primary duty to secure partnerships with businesses, coordinate marketing efforts, and manage the logistics of each event to maximize school fundraising. Also responsible for promoting our 2 vendor programs (Box Tops & Kroger Community Awards)

Volunteer Coordinator:
Time Commitment: 2-4 hours weekly

Ideal candidate: Ideal candidate has coordination skills and can manage multiple projects at once. Candidates should have excellent communication & planning skills. Position requires this board member to be present at the school during volunteer events and monthly Sip & Snip event.
Role & Responsibilities:
Responsible for recruiting, managing, and assigning volunteers for all Tadlock PTA events ensuring smooth operation of volunteer activities by coordinating with teachers, administrators, and other PTA members to identify needs, recruit volunteers, provide training, and oversee their placements across various school events and initiatives
- Organizes & is in chage of annual “Tears & Cheers” event on the first day of school
- Organizes monthly Sip & Snip event
- Recognizes monthly Volunteer(s) of the month
- Attends/takes all required training

Watch D.O.G.S. Chair
Time Commitment: 5 hours/month (more if volunteering at the school as a Watch D.O.G. for the day)
Busiest Times of Year: Beginning of the year organizing, promoting, and recruiting new members during the annual Watch D.O.G.S. Pizza Night l Spring planning and organizing Donuts with Dad morning event.
Ideal Candidate: Tadlock PTA Dad or Father figure who is organized, has excellent communication skills, and comfortable representing the Watch D.O.G.S. Program at Tadlock Elementary.
Role & Responsibilities:
Responsible for coordinating and overseeing the "Watch D.O.G.S" program at Tadlock, which involves recruiting fathers and other male volunteers to spend time at the school during the day, assisting with various tasks like monitoring hallways, helping with lunch, and providing a positive male presence for students; this role typically includes recruiting volunteers, training them on program procedures, scheduling shifts, and maintaining communication with the school administration and other PTA members.
